Best data room for a boutique M&A firm running several sell-side deals (October 2026, 9 we priced)
For a boutique sell-side M&A advisor with several live mandates, the default is Firmex’s unlimited-project annual subscription: quote-only, priced by the data you store over a year, with SOC 2 Type 2, SSO and Q&A routing. FirmRoom publishes $795/month for three active rooms (retrieved 2026-10-01). The pricing model decides the bill across a year of engagement letters.
This is our list of 9. Each row is the job that vendor actually wins, how it bills several mandates at once, and where it stops fitting.
Best data room for a boutique M&A firm (definition). The room whose pricing model still fits when the fourth CIM goes out, and whose controls keep each bidder in its own lane.
Firmex wins the default subscription, Q&A routing and buyer recognition. Datasite wins the broad auction. A published flat price wins the shop that wants one number for the year.
How we tested
We read each vendor’s own pricing or product page on 2026-10-01. A published number is quoted as published. Quote-only stays quote-only. We did not invent a price and we did not score vendors against ourselves. If a vendor moves a figure after that date, believe their page.
This page is a firm choosing one room for many mandates. Leaving Firmex specifically is Firmex alternatives for a boutique M&A advisor. A seller picking a room for one sale is the best data room for a small business sale.
Four ways a VDR bills a year of mandates
Per transaction. A new quote for every engagement letter. Datasite prices “customized for every transaction”. Firmex Single Project and iDeals Core and Premier are one project each.
Unlimited-project subscription, by quote. Firmex Subscription, iDeals Enterprise, and DealRoom (priced by deal volume, annual commitment). Firmex’s own pricing page puts it plainly: “A subscription will always be more affordable than the equivalent number of single-project data rooms.” The right shape for a shop with three to six live sell-side processes, but no public dollar.
Room caps and storage tiers. FirmRoom caps active rooms per plan and charges $150/GB/month over the tier. CapLinked Team is one workspace. Ansarada bills additional data at peak usage. QoE workbooks, monthly P&Ls and contract scans fill a tier faster than the deal count grows.
Flat published price. SecureDocs is $250/month on its 12-month plan, with volume packages by quote for several simultaneous deals. Cashpian is one company price with unlimited rooms.
What each data room costs a boutique
| Tool | Pricing model | Published price (dated) | Job it wins | Ceiling |
|---|---|---|---|---|
| Firmex Subscription | Unlimited projects, annual fee | Quote-only. The amount of data required over a year sets the price (retrieved 2026-10-01). | The default boutique sell-side room. SOC 2 Type 2, SSO, coordinator / expert / approver Q&A roles, a name PE counsel knows. | No public dollar; the bill moves with data volume. Owned by Datasite since 2021. |
| iDeals Enterprise | Core and Premier: one project. Enterprise: unlimited projects | Quote-only on every tier (retrieved 2026-10-01). | Unlimited projects with Q&A routing roles, when the shop wants a second name buyers recognize. | Core and Premier are single-project; only Enterprise covers several mandates. |
| Datasite Diligence | Per transaction | Quote-only: "customized for every transaction" (retrieved 2026-10-01). | A broad auction where a PE buyer's counsel expects Datasite. | A new quote for every mandate. |
| Ansarada | Quote builder, storage-driven | Quote-only. Free until the room goes live or 90 days, whichever comes first (retrieved 2026-10-01). | Building the room before the CIM goes out without paying for it. | Overage is billed at peak usage for the rest of the term; deleting files does not reduce it. Owned by Datasite since 2024. |
| DealRoom | Priced by deal volume, annual | Quote-only. Unlimited users, no per-document fee (retrieved 2026-10-01). | Request lists, task owners and a pipeline across deals. | Plans start at 1 GB per room; overage is $1,500 per GB on annual plans ($125 per GB monthly), per DealRoom support. |
| SecureDocs | Flat fee per plan | $250/month on the 12-month plan; unlimited users and documents (retrieved 2026-10-01). | The lowest published flat fee for a single deal room. | Several simultaneous deals move to volume packages, by quote. |
| FirmRoom | Active-room caps and storage tiers, month-to-month | $395/month for 1 room and 2 GB, $795/month for 3 rooms and 5 GB, $1,195/month for 5 rooms and 10 GB; extra room $250/room per month; overage $150/GB/month (retrieved 2026-10-01). | A traditional VDR with a public number, month-to-month, with NDA workflow and redaction on every plan. | The room cap and the storage tier both bill as mandates stack up. |
| CapLinked | Per workspace, or Enterprise | Team $399/month for 1 workspace and 5 GB; Enterprise from $500/month or $5,000/year (retrieved 2026-10-01). | A published entry price, with SAML SSO and IP whitelisting on Enterprise. | Team is one workspace; a second live mandate means Enterprise. |
| Cashpian Standard | One company price, unlimited rooms | $100 / mo or $1,000 / yr; unlimited rooms, viewers and documents, no seats. | One audience per bidder, Q&A private to each buyer until published, NDA signed at the door, watermarks, per-file download control, per-buyer page logs. | No SOC 2 report and no SSO claim. No Q&A routing roles. No deal pipeline. No white label. Not the name a large PE buyer's counsel asks for. |
Four live mandates for a year, on published numbers
The same boutique, four sell-side processes open at once for twelve months. Only published figures are multiplied. A quote stays a quote.
| Vendor | Four rooms for twelve months | How we got it |
|---|---|---|
| Firmex Subscription | Quote | Unlimited projects; data volume over the year sets the price. |
| iDeals Enterprise | Quote | Unlimited projects on Enterprise only. |
| DealRoom | Quote | Priced by deal volume, annual commitment; overage $1,500 per GB on annual plans. |
| Datasite Diligence | Four quotes | Customized for every transaction. |
| Ansarada | Four quotes | Free until each room goes live or 90 days; then the quote and peak-usage data. |
| SecureDocs | Quote | $3,000 is one 12-month plan at $250/month; several simultaneous deals are a volume package. |
| FirmRoom | $12,540 before overage | $795/month for three rooms plus one extra room at $250/room per month, times twelve. Overage $150/GB/month past 5 GB. The 5-room plan is $14,340 a year. |
| CapLinked | From $5,000/year | Team covers one workspace, so four live mandates is the Enterprise plan. |
| Cashpian | $1,000 / yr | One company price; the fourth room costs what the first did. |

Who owns whom
Datasite announced its acquisition of Firmex on 26 July 2021 (Firmex’s own announcement). The Ansarada scheme was implemented on 6 September 2024 (ASX announcement). Three of the names a boutique is quoted by sit under one owner.
Where a flat company room fits
A company-priced room is one line for every mandate. Cashpian Standard is $100 / mo per company, or $1,000 / yr, with unlimited rooms, viewers and documents and no seats. See pricing.
Each bidder gets its own audience, so a strategic and a PE add-on buyer see only the folders they have earned. A buyer’s Q&A thread is private to that buyer until the M&A advisor publishes it, and a published answer reaches only that buyer’s audience. The NDA is signed at the door, with a certificate per signer. Watermarks, per-file download control and per-buyer page logs show who is actually working the file. How to widen access after IOIs and again after the LOI is how an M&A advisor stages data room access from IOI to LOI; keeping bidders out of each other’s questions is how to keep buyers from seeing each other’s questions.
Firmex keeps the rows it wins: SOC 2 Type 2 and SSO, Q&A routing roles, and the name. iDeals also publishes its Q&A roles. Cashpian has no SOC 2 report, no Q&A routing roles, no deal pipeline and no white label. See What is Cashpian?
